The manual research problem: Why every company does the same work twice

Something happens at almost every company: someone on your sales team opens LinkedIn to research a lead. They check the company website, scan recent news, look for the decision maker's contact info, verify the email format, figure out if they're a good fit, and log everything into the CRM.

Two days later, someone on the marketing team researches the exact same company for a campaign.

A week after that, someone in business development does it again because they're building a target list.

Three people. Same company. Same research. Done three separate times.

And that's just one lead.

Now multiply that across every prospect your team touches, every competitor you track, every partnership opportunity you evaluate. The same work, over and over, by different people, at different times, with no system capturing it the first time.

That's the manual research problem. And it's costing you way more than you think.

What manual research looks like

Let's walk through what this actually means in practice, because it doesn't feel wasteful when you're doing it. It just feels like work.

You get a new lead, maybe from a form fill, maybe from a referral, maybe from an outbound list. Before you reach out, you need context. So you start researching.

First, you open LinkedIn. Check if the company exists, see how many employees they have, figure out what they actually do. Try to find the right person to contact, maybe it's the founder, maybe it's the head of marketing, maybe it's someone in ops. You're guessing based on company size and your product.

Then you open their website. Read the About page. Check if they're funded. See if they have a blog or case studies that hint at what problems they're focused on. Look for signals that they might need what you're selling.

Then you Google them. Recent news? Funding announcements? Layoffs? Expansion? Anything that suggests now is a good time or a terrible time to reach out.

Then you try to find an email. Maybe you use Hunter.io. Maybe you guess the format. Maybe you check if anyone on your team has contacted them before (spoiler: they probably have, but you don't know that because it's not in the CRM).

Then you log everything. Copy the company name, paste the LinkedIn URL, write a note about what you found, tag it with whatever fields your CRM requires. Maybe you add them to a list. Maybe you set a reminder to follow up.

The whole process takes 15 to 20 minutes. Maybe longer if the company is new or if you're being thorough.

And, someone else on your team is going to do this exact same research in two weeks when they need to build a target account list for a campaign. They'll open the same tabs. They'll read the same website. They'll Google the same company. Because there's no central system that captured this work the first time.

This way, you're not building knowledge, but repeating research.

Why it's worse than slow, it's inconsistent

The time cost is obvious. If each person on your team spends 10 hours a week on research, and you have five people doing this, that's 50 hours a week. That's more than a full-time job, just researching.

But the bigger problem isn't the time. It's the inconsistency.

When research depends on who does it, the quality varies wildly. Some people are thorough, they check funding history, read the latest blog posts, look at Glassdoor reviews to understand company culture. Other people are fast, they skim LinkedIn, grab an email, move on.

Some people know to check if the company just laid off half their team, which probably means now's not the time to pitch them. Other people miss that completely and send a tone-deaf email that gets ignored or worse.

Some people remember to log everything in the CRM with notes. Other people just add the contact and move on, so the next person has zero context.

And when someone leaves the company or switches teams? All that knowledge they built up researching accounts? Gone. The next person starts from scratch.

This isn't anyone's fault. It's just what happens when research is a manual process done by individuals instead of a system that captures and shares information automatically.

The myth that automation can't handle nuance

Every time someone brings up automating research, the pushback is the same: "But research requires judgment. You can't automate that. A system won't know what's relevant."

That's partially true. But it's also an excuse to avoid solving the problem.

Yes, research requires judgment. But most of what people call "judgment" is actually just pattern recognition. You're looking for signals, company size, recent funding, tech stack, job postings, news mentions, competitor relationships. These are all things a system can identify if it's built to look for them.

The nuance people worry about isn't "can a system find this information?" It's "can a system know what to do with it?" And the answer is: if you define the criteria, yes.

Here's an example. Let's say you're prospecting into SaaS companies with 20 to 100 employees that recently raised a Series A and are hiring for growth roles. That's a specific signal pattern. A human can identify it by manually checking LinkedIn, Crunchbase, and company career pages. Or a system can monitor all of that automatically and flag companies that match.

The human still decides if the lead is worth reaching out to. But the system does the work of finding it, enriching the data, and surfacing it when the criteria match. That's not replacing judgment but removing the repetitive steps that come before judgment.

And this is what people miss: automation is often more consistent than humans. A system doesn't forget to check funding news. It doesn't skip research because it's busy. It doesn't have off days where it does a shallow job because it's rushing.

If you build the system right, meaning you define what signals matter and how to prioritize them, it handles nuance better than a team of people doing this manually at different times with different levels of effort.

What changes when research runs automatically

Fourth, your team focuses on what actually requires thinking. This is the part that's hard to quantify but easy to feel. When people aren't spending half their day on repetitive research, they have time to do the work that actually moves the business forward, building relationships, refining messaging, figuring out why deals aren't closing, talking to customers.

Research doesn't go away. It just stops being something humans do manually, over and over, for every single lead.
